Construction projects can get complex because of the many processes, people, and strategies involved. Detailed & organized construction reports solve this problem.

A construction report can give exact information about specific parts of any project. You can also create a comprehensive report on the entire project. Depending on the information, a construction report can be made for your different stakeholders. Contractors use this to their benefit, as detailed reports can help them pin-point the challenges. It also makes post-construction analysis easy with daily or weekly construction reports.

A report should be written in professional & understandable terms. The core principle is that anyone can understand it. The language used must be simple, and the information should be spread out well. But apart from this, three important points should be included in your construction reports.

Working

Besides the time, date, and other essentials, explaining the work correctly is key to a report. Include the number of people working at different stations. Explaining the working determines who was productive and who wasn’t. This can be used to bring efficiency to team management in the future.

Common terminologies can be used; the use of jargon, if necessary, should be explained in simple words for stakeholders. Avoid usage of industry-specific acronyms. In case you are using them, provide their full form or meaning in brackets. For example, OSHA (Occupational Safety and Health Administration).

Summarise the working in points instead of one long paragraph. It improves readability. Elaborate reports are appreciated but take care to not go overboard while explaining.

Progress

Many organizations believe in having a steady flow of reports. These can be daily, weekly, or over a fortnight (depending on the total period of the project).

Both the contractor and the client can benefit from this. Many clients are known to focus purely on this part of the report. State the progress made during the day (if it’s a daily report) and the progressive change in the overall project as well. Any problem with the progress can then be tracked down. This makes it easier to identify and eliminate dead weight from your team as well.

Obstacles

This part is essential for those contractors who look to improve their work. Note down the obstacles faced during the period of reporting.

Determine the degree of the obstacle to be included to avoid unnecessary information. Keeping a track of all the things hampering the workflow aids in removing those obstacles in the future. This process will improve both future work efficiency and results. If the project is lagging due to repeated problems from the subcontractor, you can change them for the next time. Noting these problems can also help you find ways to unify your employees during a crisis.

To sum it up, a well-written construction report can be beneficial to you and your client both now and in the future. It will also act as an internal survey for your employees. The data from such reports can determine the people you need to add to create a winning team.
